Prerequisites
- A Bid Grid account (sign up at getbidgrid.com)
- Your organization profile set up (name, logo, contact info)
Step-by-Step Guide
1. Start a New Project
From your dashboard, click the "New RFP" button. This launches the guided creation wizard.
2. Enter Basic Information
- Title: A clear, descriptive title (e.g., "Landscaping Services for Oak Valley HOA")
- Category: Select from options like Landscaping, Janitorial, Security, etc.
- Description: A brief overview of what you're looking for
- Property Name: The property or facility name
- Submission Deadline: When vendor proposals are due
- Project Start Date: Expected start date for the selected vendor
3. Define Scope of Services
Write out the detailed scope, or click "Generate with AI" to let Claude suggest professional sections based on your category and description.
You can edit the AI-generated content to match your specific needs.
4. Set Evaluation Criteria
Define how you'll score vendor proposals. Common criteria include:
- Price competitiveness (e.g., 30% weight)
- Experience and qualifications (e.g., 25% weight)
- Proposed approach (e.g., 20% weight)
- References (e.g., 15% weight)
- Insurance and compliance (e.g., 10% weight)
5. Upload Attachments
Add supporting documents like:
- Site maps or floor plans
- Current service contracts
- Insurance requirements
- Specification sheets
Each attachment gets a letter designation (Exhibit A, B, C, etc.).
6. Review and Publish
Preview your complete RFP, select your pricing tier, and publish. If you chose RFP Complete, you'll receive a public link to share with vendors.
